just5clicks, Inc has been in business of capturing and communicating information since 1993. We worked with many large businesses and gained substantial experience in working with users who need information to do their jobs, but have very limited time to collect and analyze it.
 
We understand that users need simple interfaces but not simple data. We strive to make our application easy to use while containing a vast repository of information. Our mission is for users to access any information they need in less than 5 clicks! Applications that are easy to use will be used more often and the cost of ongoing training will be much lower.
 
In 2002 we have partnered with Indian Prairie School District 204 in Naperville, Illinois to bring our analytical tools to public schools. In the process we have learned a lot new things; however, the principle of just 5 clicks is universal. Teachers and principals are very busy. Today, most district staff looks through paper copies, speaks with other staff members and go to a variety of different data sources to collect information on a single student. This process becomes even more overwhelming if a teacher is trying to collect data for an entire class room. With our applications, the time spent collecting information is minimized. Within 5 clicks, a teacher has access to a list of students, current and historical test scores and demographics. Our goal is to help staff get the information they need quickly so they can spend more time working with students.
 
As we worked with our customers, we discovered there is also a need to collect information quickly and easily. We introduced online data entry for teachers, online test taking by students, scanning (multiple choice, rubric, handwriting), as well as a standard based grade book and interactive report card. All of these tools help teachers to collect the information they need to impact instruction. The integration of data collection, quick turnaround (all results are available instantly) and easy reporting puts timely information in the hands of the teachers.
 
The most important lesson we learned working with schools is that everything is always changing. There are new state mandates, federal requirements and new teaching techniques. Our goal is to always stay in touch with the current environment and adapt with changes to continually meet any new needs of our customers.

Scanning is the most popular option for multiple choice assessments. Our bubble sheets are printed on a plain paper and come in a variety of formats. For younger students we offer large bubble sizes as well as questions and answers together so student do not have to transfer answers to separate bubble sheets. For higher grade levels we can combine multiple choice bubbles with room for constructed responses.
 
Setting up a multiple choice test is very easy. Use our online interface to enter the number of questions, correct answers and points possible (with the option to tie any questions to standards, learning objectives, units, etc). Assign the tests to specific teachers and the tests are ready to go. We create one bubble sheet per student based on the latest rosters from your student information system. All the bubble sheets are available together in one PDF file to be printed by teachers, a designated staff member in the buildings or centrally in the district office.
 
For teacher, test results are available in 5 easy steps.
 
  • 1. Print bubble sheets on plain paper
    2. Collect the students' work
    3. Scan bubble sheets
    4. Receive email notification informing of scanning completion
    5. Item, standard and student report available immediately

 
If scanning is done for teachers in a central location, we can alert them when reports are available. Teachers can get a notification with a link to a website with results or results can come in directly in the email.

We have noticed over the last few years an increased interest in using rubrics. They have always been popular for scoring writing; however, we see a growing popularity of rubrics in social science, science, mathematics or any other subject where teachers grade student extended responses.
 
We create two types of scan sheets for rubrics. One scan sheet actually shows the rubric for each student with bubbles inserted at the bottom to capture the score. This type of scan sheet is used by districts who want to circle or highlight which criteria were used to determine the score. The second option is to create one scan sheet for an entire class. A list of student is available along with bubbles for each rubric category.
 
Districts also have the option to include lined paper or space for constructed responses to capture the students' actual work. With each student's handwriting and an overall graded score, we provide a very nice composite picture of individual student progress. Since the results are scanned and stored in PDF, the scored rubric as well as the student's work can be made available to parents via email or on parent portals

We can capture each student's handwriting by using special lined scan sheets. Districts can customize how the lines are spaced based on grade level. Just like our multiple choice scan sheets, our lined scan sheets are generated for each student. Teachers simply distribute the lined scan sheets to students then collect them for scanning. This is a very good way to create a portfolio of writing samples. If combined with rubric scanning, it creates a complete picture of each student's effort.

Surveys are widely used by school districts. Districts give surveys to students, parents, teachers, and the community. Surveys contain questions about safety, work/study conditions, satisfaction, future plans for college etc. We provide a system to administer surveys and report results. If students are surveyed, the survey information can also be combined with other data from your student information system like grades, GPA's, as well as demographics like gender and ethnicities.
 
Community and parent surveys can be a challenge to capture. Not every parent or community member has access to the Internet to take online surveys. Districts can setup bubble sheets for survey results and mail them out along with the survey questions. Once they are sent back, they can be processed for immediate results.
 
We also have the option to setup surveys for both scanning and online formats to give parents and community members every opportunity to easily access and complete their surveys. Over time, historical results will be in one place and available for analysis to identify trends.

A lot of information in districts is currently entered and stored in Excel. Excel spreadsheets can be very difficult to combine since users have the flexibility to enter information in any format. We often see classroom teachers using only the first name for their students. While the teacher knows each student, trying to combine this data with other classroom teachers becomes a difficult task. District staff will spend a lot of time making sure all the students and data elements align together if they are trying to view the data beyond the classroom level.
 
As a result, we developed an Excel like web interface where teachers can put in the data. The templates can be setup by teachers, principals or centrally and they provide a consistent format for data entry. The templates are pre-filled with student names from your student information system. These templates also validate any data that is entered. For example, if the column is setup to accept only A,B,C then any other entry will be rejected.
 
We have an online wizard that allows anyone to create and assign a template. We currently have districts capturing early literacy data, physical education scores, rubric scores, a variety of assessment data as well as dates and demographics that are not stored in their student information system. For example, in Minnesota we are collecting Early Childhood Special Education data elements that the student information system cannot support.
 
As with all our products, the results are instantly available for reporting. As soon as the data is entered, reports are available for teachers, principals and district staff. The data can be combined with demographics, other assessment scores and disaggregated in a variety of ways - all with one easy to use application.

Online testing is becoming more common in school districts. Many states tests have gone to online formats so districts are looking to provide additional online test taking time for students.
 
Our online test creation wizard gives users the ability to setup an online test. A user can create a test from any combination of items that can be tied to standards or instructional objectives. Tests are then assigned to any group of teachers/students. We also provide a service model for districts that prefer to have tests setup and distributed for them.
 
As with all our products, the results are instantly available for reporting. As soon as students finish their tests, reports are available for teachers, principals and district staff. The data can be combined with demographics, other assessment scores and disaggregated in a variety of ways - all with one easy to use application.

RTI programs involve multiple assessments per year with targeted interventions based on the results. With so much data, it is not easy to:
 
  • 1. Determine proficiency levels for each student based on tests and standards
    2. Decide which group of students should receive interventions
    3. Move students in and out of intervention groups
    4. Document what has been done
    5. Evaluate if program worked

 
We offer a comprehensive solution to this very challenging task. Districts can use our variety of data capture solutions to collect the data for step one. Either use one of our products or send us the data your district collected by other means.
 
Our application is designed to easily create a list of students and also organize students into intervention groups. We color code student score to quickly identify gaps. All data elements can also be sorted. For example, sort the most recent scores from lowest to highest. These standard tools in our applications provide users an easy way to identify students that may need intervention.
 
Once students are identified, they can be placed into groups within our software. Users check off which students to place in an intervention group then assign the group a name. When the next assessment is administered, users can view the most recent results for the group next to the previous. We make it easy for users to monitor progress.
 
To document interventions, we have several options. Staff can type free form notes on any student. Notes are time stamped and identified by who entered the notes. We also can output individual or group plans into Excel. We have multi tab formats in Excel that group students and give staff the option to enter intervention plans. Finally, we can use our scanning solutions to identify interventions.
 
Program evaluation is easy within our application. We capture the groups and scores over time giving users the ability to identify which interventions were the most successful. If combined with financial data, you have the option to also evaluate cost effectiveness of various programs.

Several states have recently passed laws requiring districts to collect and report more data on early childhood special education students. The data requirements and reporting are quite extensive. Many student information systems are not equipped to handle the reporting requirements prompting our customers to look for alternate ways to capture the data. We have developed input template to capture dates, demographics and other criteria fields. The system can be stand alone or combined with some data elements already collected in your student information system.
 
Many of our customers are also collecting a lot of indicator data on these students such as social emotional traits or language and literacy developments. We can provide both template to capture the state reporting requirement and indicators on the students.

Standard Based Grade Book allows teachers to create tasks (homework, quizzes, etc) and tie them to standards. Certain tasks, such as summative tests, can be created centrally and assigned to teachers.
 
Teachers and administrators can very easily view students not mastering certain standards. Built in reports are available to meet a variety of needs. Teachers can track assignments that have not been completed. Reports are available to identify any standards that have not been met by a student and a list of assignments in which the student missed the standards. School and district level reports are available to track standards beyond the classroom levels. Administrators can receive reports showing overall mastery by standard, class, grade, building, district, etc. Data from the grade book can also be the basis for an Interactive Standard Based Report Card.

Many districts are moving to an online interactive report card so that parents can have real time access to report card information. Our unique interactive report card can accept data from a grade book or can become a data entry screen for teachers by itself. The interactive progress card is customized to match your district's template and a lot of information can be pre-filled. For example, students' names, absences, and standardized test scores can all be pre-filled automatically. We also link in curriculum materials, hand writing samples, music files, scanned art work, etc and make the report card accessible to parents online.

Schools have been collecting volumes of data for years - grades, attendance, test scores, schedules, curricula and more. Assessment data tends to be separate from attendance, schedules, courses, and enrollment information. Grades may exist is separate grade books. Report cards in another system. Yet another system can store information on teachers’ qualifications, certifications, tenures, etc. Going to a number of different systems makes it very time consuming to create a composite picture of student performance over time.
 
Turning this vast amount of data into usable information is a major challenge. At just5clicks, we create one single database for all the information, keep it up to date daily and make sure it has a very good response time for reporting. We work with districts to assure the quality of data through a variety of exception reports that constantly check the integrity of the data. Once the data is pulled together, we offer a simple and easy to use application for viewing data.
 
Our data warehouse comes with a reporting wizard that allows user to create standard charts, graphs, and tabular reports. Reports can be made available to users based on their access privileges.
 
We have accumulated a vast library of reporting templates. We believe that our reporting wizard, our templates and the ability to export all data to Excel will meet most district needs right out of the box. We offer services to further customize the application to meet any additional reporting needs.
 
Administrators and the community are also interested in financial effectiveness of various programs. In order to analyze effectiveness, student and financial data need to be combined. Then, it would be possible to verify that program A costing $5 per student is more effective that program B costing $15 per student. We not only have the ability to combine finance with student achievement data but we can also combine it with other aspects of district operations to create score cards, dashboards, KPI tracking etc. By combining assessment, finance, human resources, meal counts, network uptime, bus routes, building maintenance users access one integrated application for all the district data needs rather than going to a variety of different sources.

While gathering data may be a challenge, sometimes reporting can be even more difficult.

One common concern in districts is how to distribute information. Teachers often have a variety of sources yet limited time to access information. Having a variety of sources also introduces confusion on where to go to find specific information. One way we address this challenge is to email results and/or links to our application. We can set up automatic distribution of reports to the designated recipients. For example, let's say that the 3rd grade has just completed a local assessment district wide. The results can be reported on a district level and emailed to top administrators. Principals would receive summaries for their buildings and teacher would receive summary for class and detailed reports for each student. Reports may come in a body of email or as a PDF or Excel attachment. Links are also available in the email to go into our application for further analysis. Since most staff use email daily, it makes it convenient to receive the most up to date information.

Now that you have gathered a lot of data, how do you distribute that data to parents? Students are taking standard tests, local benchmarks and participating in a variety of programs. How can you quickly convey this information to parents in an easy to use and easy to understand format?
 
Our answer to this challenge is generating letters in PDF that can be sent home with parents. Some of our customers have developed PE letters that show the students score, the district average and how to improve the score. Other districts have created send home letters about a standardized test. They show high level and strand scores and insert basic information about the test. Parents have an easier time understanding the assessment results and the district can customize the information that parents see.

Our reporting wizard has been developed create simple yet powerful reports for any district data. Our reporting wizard can display data in a number of different ways. Some examples are:

For example, only 5th grade students in the gifted reading program.
